IRS Receipt Requirements
For a business expense, the IRS wants documents that show who you paid, the amount, proof you paid, the date and what you bought, plus why it was for the business. A receipt that shows the amount, date, place and kind of expense is ordinarily enough, and a restaurant receipt for a business meal also needs the number of people served. What to do today
What does the IRS want a receipt to show?
For business expenses, the IRS says your documents should show:
- Who you paid
- The amount
- Proof that you paid it
- The date
- What you bought, described well enough to show it was for the business
What is an itemized receipt?
An itemized receipt lists each thing you bought with its own price, not just the total. It shows what you bought on its own. A card slip with only the total does not, so ask the seller for the itemized copy or write the items on the slip.
Is a credit card statement enough without a receipt?
Usually not on its own. A card statement shows who you paid, the amount, the date and that you paid, but not what you bought or why. The IRS says a combination of documents may be needed to show every part of an expense.
Publication 463 makes the same point about checks: a canceled check with a bill from the payee ordinarily shows the cost, but a canceled check by itself does not prove a business expense without other evidence of the business purpose.
What does a restaurant receipt need for a business meal?
Publication 463 says a restaurant receipt is enough to prove the expense if it shows the name and location of the restaurant, the number of people served, and the date and amount, with any charge for things other than food and drink shown as such. Write the business reason and who you were with on it too.
What does a hotel receipt need?
The name and location of the hotel, the dates you stayed, and separate amounts for the room, meals and phone calls, according to Publication 463. The itemized folio from the front desk usually has all of it.

Questions people ask
Do I need a receipt for every business expense?
Generally yes. Publication 463 has exceptions for travel, meals, gifts and car expenses: no receipt is needed under $75 unless it is lodging, or for a transportation expense when a receipt is not readily available. Your own record is still needed.
Is a photo of a receipt as good as the paper?
It can be. Publication 583 says electronic records must meet the same rules as paper and the system must store them legibly and be able to reproduce them. Revenue Procedure 97-22 has the details.
What should I write on a receipt?
The business reason, in a few words. For a business meal, add who you were with and how each person is connected to your business.
What does a receipt need to show for the IRS?
Who you paid, the amount, proof that you paid, the date, and a description that shows the purchase was for the business. A combination of documents may be needed to show all of it.
Is a canceled check enough proof?
Not by itself. Publication 463 says a canceled check with a bill from the payee ordinarily establishes the cost, but a canceled check alone does not prove a business expense without other evidence of the business purpose.
How much of a business meal can I deduct?
Generally 50%, Publication 463 says, with tax and tip counted as part of the meal. There are exceptions, and the receipt still needs the restaurant, the number of people served, the date and the amount.
Is there a limit on business gifts?
Yes. Publication 463 says you can deduct no more than $25 for business gifts you give, directly or indirectly, to each person during your tax year. Incidental costs like engraving, packaging and mailing are generally not counted in the $25.
Do I need to write the same details twice?
No. Publication 463 says you do not have to record information in your log that duplicates what is on a receipt, as long as your records and receipts complement each other in an orderly way.
